This policy explains how we handle personal information collected through handlewithcareranch.com and the services we use for inquiries, appointments, purchases, donations, volunteer opportunities, and program registration.
The Ranch and Foundation are separate organizations. The Ranch handles its commercial services and purchases. The Foundation handles its charitable programs, donations, and volunteer activities. Information is handled by the organization responsible for your inquiry or activity and shared between them when needed to coordinate a program or fulfill your request.

- Your name, preferred name, email address, telephone number, and mailing or billing address.
- Appointment details, service interests, learning goals, registration responses, and communications with us.
- Emergency-contact names, relationships, and telephone numbers.

How we use information
We use information to respond to inquiries, deliver services, manage appointments and registrations, process purchases and donations, coordinate volunteers, and communicate about your participation.
We use relevant health and access disclosures to plan accommodations and support activity safety. We also maintain agreements and transaction records, manage incidents or disputes, protect our operations, and meet applicable legal, accounting, and insurance obligations.
Payments and donations
Payments and donations made through Stripe are processed by Stripe. When using our Stripe-powered payment flow, we do not store your full payment-card number or card security code.
We may receive transaction information such as your name, contact information, payment amount, payment status, and limited payment-method details.
Stripe handles information under its own privacy policy:

Service providers and information sharing
We use service providers to support our operations. These include Paperbell for relevant client services, registration, agreements, and communications; Calendly for relevant scheduling and booking questions; and Stripe for payments and donations.
Our website hosting, form, email, and other technology providers may also handle information needed to provide their services. These providers have their own privacy practices and policies.
Relevant information may be shared with authorized staff, facilitators, and volunteers who need it to coordinate participation or safety. We may also disclose information to emergency responders, insurers, professional advisers, or authorities when reasonably necessary for an emergency, claim, legal obligation, or protection of people and property.
We do not sell or rent your personal information.
Health and access disclosures
Health and access information submitted during registration is used for participation planning, accommodations, and safety. Access is limited to people who need the information for those purposes or to address an incident.
Our registration and coaching systems are not emergency medical services. Please do not use website forms or booking messages to request emergency assistance.
Email and text messages
We may send administrative messages about appointments, registrations, payments, donations, or programs you join.
Where we ask permission to text you about retreat or event logistics, that permission applies to those messages. It does not automatically enroll you in promotional text messages.
You can ask us to stop optional communications by contacting us or using an available unsubscribe option. Essential service messages may still be needed to manage an active booking or transaction.
Photographs and recordings
Media permission is requested separately when applicable. Declining permission does not affect participation.
When you authorize photographs or recordings, their use is governed by the media-consent terms you receive. Contact us to discuss your choice or request withdrawal of permission for future uses. Material already published or distributed may not be fully recoverable.
